EzyVet Administrator
We are seeking a highly skilled and experienced EzyVet Administrator to configure, implement, manage and optimize the EzyVet platform across our specialty and emergency veterinary practice network. The EzyVet Administrator will be responsible for partnering with the clinical operations and field operations teams as we code and configure a new central site, and then roll that instance out to our network of hospitals. The EzyVet Administrator will be onsite during rollouts (with contract resources) to help troubleshoot for hospital teams and ensure rapid response as we migrate to the new instance. Post-implementation, the Administrator would be expected to manage and optimize the system for use across our hospital network. The Administrator will also be responsible for ensuring smooth operation and integration of EzyVet with other operational systems and point solutions supporting the EzyVet central structure and driving process improvements tailored to veterinary workflows. The role will require deep knowledge of ezyVet’s unique features and its central structure capability for our growing hospital network.
CORE DUTIES:
- EzyVet Platform Expertise:
- Experience with the full functionality of EzyVet, including patient records management, documentation and forms management, scheduling, coding, product and service categorization, billing, referral attribution, package pricing, bundling and discounting, and inventory management. The Administrator must have the ability to leverage EzyVet’s advanced features to customize workflows specific to multi-specialty and emergency veterinary practices.
- Understanding of EzyVet Central Structure: Familiarity with managing multi-location veterinary networks using EzyVet’s central structure. This includes managing shared data, permissions, and workflows across multiple locations.
- Product Codes and Mappings:
Maintain and manage product codes and mappings within the EzyVet system, ensuring consistency and accuracy across all practice locations. This includes configuring product catalogs, ensuring accurate linking of products to treatments or services, and updating mappings to reflect changes in inventory or service offerings.
- System Integration Experience:
- Medical Device & Lab Integration: Experience integrating EzyVet with lab systems, imaging tools, medical devices, digital whiteboards, workforce scheduling tools and payroll solutions. Critical for maintaining seamless data flow and optimizing veterinary practice operations.
- API Knowledge: Experience working with APIs to connect EzyVet to third-party platforms (e.g., diagnostic tools, financial software), ensuring compatibility and smooth operation.
- Customization & Configuration:
- Advanced Customization: Ability to configure and customize EzyVet reports, workflows, and dashboards to meet the specific needs of different corporate departments and within the practice. This includes creating tailored reports for operational and financial insights and managing role-based access.

- Training & User Support:
- Training Experience: Able to deliver comprehensive training on EzyVet to end-users (veterinarians, technicians, and admin staff). This includes onboarding new employees and providing ongoing education for system updates.
- Support Skills: Ability to troubleshoot user issues quickly and efficiently, providing on-demand technical support to minimize disruptions.
- Feedback Collection: Gather feedback from operational teams about software. Use this feedback to make improvements and ensure that the software is serving the needs of the hospitals effectively.
- Vendor & Stakeholder Management:
- Vendor Relations: Experience in managing relationships with EzyVet support and third-party vendors to handle upgrades, customizations, and system enhancements.
- Cross-Departmental Collaboration: Strong communication skills to collaborate with various teams (IT, clinical, operations) and ensure EzyVet supports their needs.
OTHER DUTIES & RESPONSIBILITIES:
- Identify and evaluate software applications that could improve the efficiency and effectiveness of our veterinary practices. This may include appointment scheduling tools, labor and workforce management tools, HRIS systems, ATS systems, billing, revenue cycle and payment applications, and others.
- Manage the integration of new software applications with EzyVet.
- Extract and analyze data generated by these software applications support production of reports, dashboards and insights that can guide our practice's decision-making processes.
QUALIFICATIONS:
- Education & Experience:
- Bachelor’s degree in Information Technology, Computer Science, Business Administration, or a related field.
- Minimum of 3 years of experience with EzyVet, including configuration, implementation, migration, integration and user support.
- Proven experience deploying and/or managing the EzyVet central structure for multi-location practices.
- Prior experience as an EzyVet trainer, with a focus on delivering tailored training programs to diverse user groups is a plus.
- Technical Skills:
- Expertise in EzyVet administration, customization, and data management.
- Experience integrating EzyVet with medical devices and third-party platforms using APIs.
- Ability to deliver training programs and provide ongoing support for end-users.
- Strong analytical skills for creating and interpreting reports using EzyVet's built-in tools

WORK CONDITIONS
- Full-time role with pre-scheduled on-call availability.
- Role can be onsite at our HQ in NJ or any of our multi-specialty hospital locations in NJ, NY, CO, NV or CA or hybrid/remote.
- Travel: ~25% expected after initial onboarding and completion of PIMS system migration.
